PSI seeks an English and French speaking Subaward Coordinator that will support and monitor a diverse portfolio of subawards for the Global Operations, Africa Program Management Team (PMT), with a specific emphasis on our PSI’s Standards for Excellence & Program Success (STEPs).

 

Your contributions

  • Provide administrative support to ensure subaward compliance. May include drafting of subawards and subsequent amendments, supporting pre-award assessments of subrecipients, participating in subaward monitoring visits, assisting with internal compliance reviews, and ensuring Patriot Act and Transparency Act reporting and compliance for all subaward actions. 20% of the Time
  • Provide moderate financial management support, which may include managing and ensuring compliance of and reviewing and processing subrecipient financial reports against budgets. 20% of the Time
  • Prepare and submit subaward advance, liquidation, and reimbursement requests for DC-paid subrecipients; track subrecipient payments and monitor cash balances; Liaise with Procurement and Finance to setup subawards as vendors in Lawson; create and modify Purchase Orders (POs); and track payments in Ascend.
  • Provide support for knowledge management activities, including the tools and systems for information tracking, creation and maintenance of internal filing systems related to subaward documentation (e.g., pre-award assessments, selection and negotiation memos, reports, site visits reports, monitoring plans, financial report review checklists, management letters, important email communications, pre-closeout letters, modifications, etc.). 60% of the Time
  • Review all subaward files to ensure that all required documents are complete, accurate, and compliant with PSI policy, to ensure audit preparation and achievement of PSI’s Standards for Excellence & Program Success (STEPs) requirements.

What are we looking for?

  • Fluency in English; French language skills (Spoken and Written) required
  • Bachelor's Degree (or international equivalent) in a related field
  • At least 1 year of related experience. Equivalent combination of related education and experience may be substituted.
  • Knowledge of and experience working in contexts that support and execute U.S. Government procurement processes, contracting procedures, regulations, and policies (i.e., FAR, AIDAR, 2CFR200 cost principles,) strongly preferred.
  • Advanced computer skills: MS Office applications, including Word, Excel, Adobe Acrobat, PowerPoint, SharePoint, and knowledge of graphic design.
  • Ability to write well with strong attention to detail in order to compose reports, presentations, and emails in an organized, logical, and concise manner.
  • Highly organized and able to juggle multiple, competing priorities with poise and composure.
  • Strong preference for experience in USG compliance administration, with an emphasis on USAID government subawards.
  • Experience responding to audit inquiries, working closely with external parties to ensure a high degree of compliance.
  • Meticulous attention to detail with a commitment to producing accurate and quality work.
  • Ability to work professionally and independently in a fast-paced environment.
